Roomy shows who gets heard in your meetings without keeping what anyone said. Here's exactly what we store, and who can see it.
What Roomy never stores
- Audio, from your mic or the meeting.
- Words or transcripts.
- Anyone's gender, unless you tag it yourself.
- Other people's email addresses or Google accounts.
How Roomy hears a call
The Roomy extension uses your mic and the Meet tab's sound inside your browser to know when someone is speaking. The sound is never saved or sent anywhere. No speech-to-text service is used.
The Chrome extension
- It works only on Google Meet pages, and only after you click Start.
- It reads the Meet page only to know when you leave the call, how many people are there, and which tile shows Meet's speaking indicator, so your review can split the room's speaking time by person (P2, P3 and so on). It never reads names, chat messages or captions.
- It works only with a Roomy account. It keeps your connection in your browser and sends each finished call's timings to askroomy.com. A call that can't be sent yet waits in your browser for up to 7 days, for your account only; signing out deletes it.
- It doesn't see the other sites you visit.
- Roomy's use of information from the extension follows the Chrome Web Store User Data Policy, including the Limited Use requirements.
What Roomy stores
- Your account: name, email, photo if you add one, your own gender if you choose to set it, your preferences, and your authenticator setup if you turn on two-factor sign-in.
- Each call: who spoke when (the start and end of each turn), interruptions and how they ended, the alerts you saw and how you rated them, the accuracy and why, the title and the number of people.
- What you add: tags, first names, notes, and how heard you felt.
- Also: the receipts you create, your AI debriefs, your newsletter email if you sign up, and the ideas and votes you leave on the roadmap.
Who sees what
- You see all your calls.
- In a team, owners and admins see who recorded each call, and its details as P1, P2 and so on. They never see participants' names, tags, notes or ratings, or which P recorded the call. For calls from the extension, they see the call's totals only.
- Everyone in the team sees team totals, once 3 members have calls.
- A receipt shows only the numbers you picked, to anyone with its link, until you revoke it.
- No one else sees your data.
The AI debrief
When you ask for a debrief, the call's numbers are sent to Google's Gemini model through Lovable's AI gateway to write it. Never names, tags, notes, ratings or words. You can switch the debrief off in Settings.
Where your data lives
Roomy runs on Lovable Cloud. Access rules in the database make sure each person reads only what they're allowed to.
During the beta
Roomy is in private beta: each new account waits until we open it. When you sign up, your name and email reach us in an alert (by email and in our Slack) so we can open your account. Until then, Roomy shows only a waiting page, and you can delete your account from it.
Error reports
When something breaks in the app or the extension, Roomy's server sends an error report to PostHog, on servers in the EU: what failed, where in Roomy's code, the version and an anonymous account code. Never audio, words, names, email addresses or meeting links. PostHog doesn't run in your browser or in Meet, and sets no cookies.
Visits to this site
Our host, Lovable, counts visits to askroomy.com: the pages viewed, the site you came from, your type of device and your country. We look at these totals to improve the site. They're separate from your account and your calls.
How long we keep it
Your calls and account stay until you delete them. Deleting your account removes everything in it.
Your rights
You can ask to see, correct, export or delete your data, or object to how it's used: write to support@askroomy.com. You can also complain to the CNIL, the French data protection authority, at cnil.fr.
Your choices
- Rename, retag or delete any call.
- Clear the names on a call.
- Revoke a receipt.
- Disconnect the extension.
- Switch off the AI debrief.
- Delete your account and everything in it, from Settings.
Questions
Write to support@askroomy.com for any question or request about your data.
